  • We need to have kind of a checklist for stuff that has to be done before a meetup

I will start by writing youtube duties and in what order to follow them and what in case part
@miphilomath or @iayanpahwa can write about things to be performed by an anchor in chronological order
@miphilomath can explain how to schedule a meetup and what things to be kept in mind and things like how and when to invite the speaker what instructions to pass what after scheduling
@grlwholifts or @nk521 can help in explaining the steps of the poster and sending messages to groups

once we have a detailed checklist it will be easy for any upcoming meetup to plan no one person would be responsible if things are missing or someone forgot something so let's start by listing steps which can be drafted into a checklist for each meetup
and mistakes like last moment contacting speaker about talk or ancor not available things can be fixed
if the checklist is present anyone capable enough can take the responsibility

A host should introduce himself to the audiences, introduce the speakers. Share few points with the audience before convening forward. I will try to list them. Feel free to update/add/remove any checklist item.

  • Introduction
  • Disclaimer about recording and live streaming on YouTube
  • How to join the meetups
  • Sharing relevant links in the chat and announce about it verbally, such as for YouTube, Twitter, Telegram, CoC etc.
  • Share instructions to follow during the talk, such as muting mic when not speaking etc.
  • Removing the audiences that feels like spammers after giving fair warning.
  • Asking people to share about the event, to follow on social media and subscribe calendar to stay updated.
  • Thank everyone for joining in the end
  • Announce Call for volunteers/speakers/sponsors in the end.

I am sharing the message I have compiled to be shared at the starting of meetup as below:
