Maybe OT: Reminders / To-do's when you have multiple machines / small team #1346

I am looking for the best, most economic, way to deal with......
So my premise:

  • OneNotes native integration with task tracking are:
    • Tags with tag search 馃敵's
    • Link to Outlook Tasks
      OneMore adds - Reminders.

Background: We use MS office on windows and Office 365 / hosted exchange; We are a small team (4) tech and non-tech, but all reasonably IT Savy. Our newest member is struggling with task mgmt and is looking a things like Notion / excel / MSs lists etc.....

I have tried ON task linking and find it really painful as my outlook gets clogged (is already clogged) with Tasks. I don't use tasks in outlook at all and so there are hundreds in there going back many years that have appeared, probably due to fat fingering in Outlook / OneNote and other places you can raise tasks.

I believe OM reminders are limited to the machine they are on, so don't think they would be appropriate when

I am bamboozled by MS's offering - I would love to use MS for CRM and task mgmt, but they seem to be constantly in flux and all about big companies. I am happy to pay, but by the time you have spend $20pcm on this, that and the other, the overhead runs into a small fortune (although sponsoring this project is excellent value for money).

We need to be able to raise and manage tasks, ideally assign them and within the team ideally be able to view others tasks. In our work we literally can amass 20 tasks a day and have hundreds (or in my case probably thousands) on the go.

I suffer from "perfect solution" paralyses and so haven't jumped in with a tool or SAAS solution. I have tries Asana, Assembla and a couple of other tools.

My default questions are always: if we don't like it, can we get our data out; can we extend / integrate with it; how well does it work with our current tools.......

I love OneNote, but we have about 10K pages between us and manually keeping "todo" pages is really difficult, especially when we need to keep people appraised of delivery on tasks and keep an eye on effort and priority. We currently have very poor visibility on overdue tasks or a quick way of re-ordering them.

I would love peoples input before I go onto Reddit or any other place you might recommend.

I didn't mention: I really need to be able to copy links from ON pages / para's or even OM's reminders or whatever and paste into the relevant tool. We run ON pages for projects / support incidents / areas of interest and so being able to click to goto is really important. My 15 mins with MS lists and I couldn't work out how to get a clickable link in their list / dashboards.

Just a note, OM Reminders are stored as meta elements on the page so should be "shared" theoretically. I haven't done any tested in that regard though but it should work that way...

Having said that, I do know that OM Reminders can get lost in rare cases. I just haven't had time to hunt that down.

I thought I read somewhere that you thought they weren't robust accross machines and people. So in terms of intent, should they work with multiple users? I had just kind of discarded them as they didn't seem to fit with how we worked, BUT if they are worth looking at and I can help root issues out, then I'll give them a go.

... of course you don't gather optional telemetry, so you have no idea whether 1M users use them or 1 :-).

So no fav tool for you then @stevencohn? I've been reading about PARA method, BASB, GTD and lot of other things to coral my scatter brain and segregate and focus more. Plus I'm doing my teams heads in as I insist that everyone takes tasks on with a Estimate low / high effort & ETA so both the setter and tasked have a common understanding of what's been agreed.
